council run allotments - secretary

Ive been made secretary of our council allotments, but am confused as to the duties I should carry out
I know I take the minutes, and contact the council, fundraisers etc. But what else will I be expected to do?

Whats everyone elses experience of being a council secretary or on the committee?

(Im saying council only as I would assume that private sites have differing needs)

The one I took over from just took minutes and sent the odd letter out and kept the records up to date.

I do all the above but I've also arranged for regular deliveries of leaves from the council, manure from a local farmer. I've arranged for our members to have access to another sites shop and social group, made sure I'm known to new members as a point of contact, begun to set up a website.

I guess you can do as much as you want to but depending on the politics of your site just watch you don't tread on anyones toes. I get on well with the chairman of our site ( we also have our plots next to each other) so we talk a lot. I've also made a lot of contacts over time which I let the site benefit from.

I'm the secretary for the management committee on a council run allotment site.

I

  • Circulate the agenda for meetings for the chairman
  • Produce and circulate the minutes of the meetings for the chairman
  • Create a quarterly report to the council
  • Edit and produce a newsletter
  • Assist the site manager with site inspections and produce a report for the committee and council
  • Liaise with the Clerk to the parish council regarding waiting list, poorly cultivated plots, evictions and work needed on the site.
  • Act as first contact for plot holders to relay problems etc.
  • Ensure all committee members have all relevant information and feed back from council
  • Act as treasurer
  • make notices for notice board
  • Generally natter and chat to  every one.
  • make lots of tea and biscuits in my shed

There's probably things I've missed off.  In fact I'm sure there are  :lol:

Sounds just like the jobs that I have to do with the exception of the first two.  :D

Oh and I also have to nominate plots for the local Allotment Holders Association for the local competitions

our sec is liaison with NSALG and she maintains the membership list, orders all the seeds via the discount seed scheme and the annual spud delivery, amongst other things  :)

I'm the site secretary for the local council on my site.  I manage the waiting list, show prospective tenants round, provide their details to the council for issuing of tenancies, and do site walks to recommend action be taken on ungardened plots.  I also request skips and liaise generally about site issues and maintenance.  The council officer deals with tenancies, monies, warning letters, acts as independent arbiter etc.

My site has an allotment association but that is totally separate from my role.  The association is for those lotty and leisure gardeners who choose to join - membership is not directly linked to plot ownership.  The association has a secretary on the committee who takes minutes, etc -  that's a totally different role and has nothing to do with plots or the council.
I try to take one day at a time, but sometimes several days all attack me at once...

Our secretary takes the rents, does the lets, deals with the evictions, helps at the association shed with the orders, deals with the rows, complaints, whinges and possibly compliments (never yet heard one of those though), chairs committee meetings, deals with council ....

That's the role of our site's chair and site rep (both held by the same person)

Well today as warden I had to lay a 13m square lawn with only 1 other person helping as well as collect all the turf.
Show around 2 prospective tennants and sort out approx 1000 flower plug plants into what people had ordered.
A very hard busy day.
And tomorrow have a seed / plant swap 10 - 2.
